Guidelines for Creating Event Announcements
The following guidelines are intended to help you help fellow Toastmasters. We define an "event ad" or "event announcement" here as any event promotion that you provide.
1. Get to the point. As with good prepared speeches: Keep the message simple and clear. Most news items tell: Who? What? When? Where? Why? And How?
• Submit the announcement early, preferably three (3) weeks in advance, by email to XXXX.
2. Include the date and start time. Also include:
• Street address of the event site including zip code (A link to an online map is recommended. Just because you know where it is, does not mean others will find it.)
• Clear directions to the venue for drivers coming from all of the most common directions
• Any costs or information about meals
• Clarification of any details easily confused
• A contact phone number that ANYONE including the general public can call.
• The web address of the club online calendar if event details will be maintained there AND if the calendar is available to the public.
3. Flyers and attachments are accepted in PDF, Microsoft Word, or PowerPoint. We may convert your submission to PDF.
4. Be sure to include a text-only version of your announcement, which is helpful for users who rely on screen reading software. You may also voice-record the announcement as an audio file.
5. If information submitted includes personal contact information (phone numbers, email addresses, or street addresses of private homes or businesses, etc.), then include a statement that it is OK for us to publish this information on this web site. Information on this website is available WORLDWIDE.
6. For urgent changes such as postponements or unexpected happenings, call or text (859) 802-9320. Be ready with a callback number. We cannot guarantee an immediate update, but we will accommodate your need as best we can.
7. If you have a Google account (free), you can be a “web helper” for the District 40 events calendar. If you can log on to a website and fill out online forms, you have all the basic skills you need!
